1. Start with a specific process
Choose a situation you want to address and describe how it works today. For example, a sale is recorded in one tool and someone enters it again to update inventory or accounting. Identify where the process starts, who takes part and what outcome you need. You do not need to arrive with a list of applications already selected.
2. Define the people and operations involved
List the companies, locations, departments and users that would participate. Identify who carries out each activity and who can validate the result. Separate what you need in the first stage from what you can review later; this helps you agree a manageable scope.
3. Review the data you will use
List where your customers, products, stock records and other relevant data are held. Note their format, approximate volume, known duplicates and gaps. Define what information you need to transfer and who can review it. Start by sharing a description of your sources; data and access details are provided through the channel agreed for the project.
4. Identify the connections you need
List the tools you would continue using and the information that should move between them and Odoo. Distinguish a manual check, a file import and an automatic integration. The feasibility and scope of each connection are reviewed against available interfaces, data, permissions and provider terms.
5. Separate the components of the proposal
Review licensing and hosting; implementation and training; data migration; development and integrations; and support and improvement separately. For each component, confirm activities, deliverables and what is included. If you buy a licence or a store product, check whether configuration, migration, training and support are included or require a separate quotation.
6. Agree how the result will be checked
Describe real situations your team needs to complete, who will test them and how they will be accepted. Identify the data, access and responsible people your company needs to provide. Record exclusions and how changes, support and subsequent stages will be agreed. Testing and acceptance criteria are specified in the project proposal.
7. Bring a summary to the sales conversation
Prepare one page covering the priority process, departments involved, available data, required connections and open questions. You do not need every answer: identifying what still needs review also helps define the project.
